A private day trip should explain which spaces are for your party, what you will eat, how you arrive and when you return. “Private” does not establish bedroom access, unlimited drinks or collection from any address. A useful proposal answers those questions before you invite everyone else.
Compare options using the same attendee list and departure point, then review the total and the spaces your group receives. This avoids comparing reserved loungers with an entire house, or a lunch price with a day that also includes transfers.
Questions for any private day-trip operator
Spaces and attendees
Ask whether exclusive use covers beach, house, dining and shade or only a reserved area. Find out whether other groups use your spaces. A shared bathroom or access route is part of the experience too, even if it is absent from the main photograph.
Provide adults, children and ages, and explain whether anyone stays overnight. Day-event capacity is not accommodation capacity. If you invite extra people after requesting a quote, update the number before assuming the original arrangements still apply.
Food and drinks
Confirm whether lunch is included, the agreed menu and how allergies or restrictions are reviewed. A family proposal needs to account for young children; several households should send one consolidated list rather than separate ingredient messages.
For drinks, request names, quantities and any extras paid separately. “Drinks included” and a photograph of glasses on a table do not explain those details. Do not assume alcohol or unlimited quantities. Keep the agreement beside the menu so those paying and those inviting share the same information.
Bathrooms and bedrooms
Ask which bathrooms visitors use, where to change and whether bedrooms are accessible. Exclusive daytime house use does not automatically settle every bedroom detail. Mention beforehand if someone needs to lie down or a child requires a particular arrangement.
Activities and equipment
Establish what can be done at the property and what needs another service. For kayaking, ask about equipment use and conditions that day. For a celebration with music, explain whether you have an idea to discuss or want to ask about an extra. An activity mentioned in a listing is not automatically an inclusion.
Transfers and return
Request origins, destinations, collection points and both outward and return legs. If people leave from different places, separate passengers and luggage for each route. Agree returns before leaving, including those going back to Cartagena while others remain overnight.
Ask whether the figure is per person, group or journey, and whether luggage, boarding charges or other items need clarifying. You are not assuming surcharges; you are establishing the total accepted. Keep one common proposal for everyone coordinating travel.

What our current day-trip offer includes
Casa Gaviota is in Punta Piedra, Isla Barú, welcoming one party at a time. Both house and approximately eighty metres of private beach without vendors are exclusively for your group. Day events can have up to thirty people; overnight capacity is up to ten, with three bedrooms and three bathrooms.
Day visits start from COP 1,000,000 per group for private house-and-beach use, with a quote for your visit. A fresh Caribbean lunch prepared at the house is included. Fried fish, coconut rice, patacones and salad are an example for discussing the menu, rather than leaving dietary requirements until arrival.
There are hammocks, shaded loungers and a kayak. Starlink Wi-Fi with battery backup and a Soundboks speaker are also available at the house. A papayera band is possible for a celebration; discuss coordination and details before including it in the budget. Extra costs and availability are confirmed with you.
How the time works
An example day leaves Cartagena by boat at 08:00. Once here, the group can swim, rest and have lunch. The return boat departs Barú around 14:30–15:00; that is not the arrival time in Cartagena. Review your proposed timings and leave room for any city commitment afterwards.
Boats do not run after dark. The final approach to the house is always by boat, using our dock. Our arrival guide explains Cartagena options and direct boat versus road plus boat. Share mobility needs and luggage before choosing the route.
Details to put in your proposal
Send the date, adults, children with ages, departure point and type of gathering. Include questions about drinks, bathrooms, bedrooms and assistance anyone needs. For a visit around a wedding, separate day attendees from overnight guests; our wedding-group guide helps organise the list.

Useful expectations for every attendee
The house is open to its coastal setting. Overnight rooms have fans and mosquito nets, without air conditioning; showers use natural-temperature fresh water. For day visits, bring sun protection, repellent and belongings protected from spray. Share these conditions with invitees who have not read the page.
Exclusive use keeps house and beach for your party, but boats and neighbours may be audible. Discuss your preferred atmosphere among yourselves too: conversation, music or rest. Your own space makes gathering easier without requiring identical preferences.
Do not use nightly meal rates to calculate this day trip. Send the plan through the day request and we will review a proposal. A saved request does not hold dates or confirm a reservation; we agree availability, payment and details with you before confirming. That final review is especially useful when attendees have different routes, food needs or departure plans, because it brings those arrangements into one version everyone can follow.
Before sending invitations, copy the agreed date, departure point, return departure and food arrangements into one message for the group. This gives guests a usable plan and makes it easier to identify an unanswered question while there is still time to discuss it with the team.
